1. Who is responsible for your data
SubscriptionCancellation.com is the data controller for the personal data described in this policy. If you have any question about your data or wish to exercise your rights, contact us at help@subscriptioncancellation.com.
2. What we collect
- Identity and contact details you provide, such as your name and email address.
- Cancellation details needed to prepare your notice, such as your account or reference number, the email or postcode on the account, and the amount you pay.
- The notice itself and its proof, including the text of your letter, a cryptographic fingerprint of it, the send date and time, a unique reference, and delivery status.
- Payment information. Card payments are processed by Stripe; we receive confirmation and a customer reference, but we do not store your full card details.
- Technical and usage data, such as your IP address and basic information about how you use the site, used for security and to run the service.
3. How and why we use it
- To perform our contract with you: to draft and send your notice, produce your proof of sending, take payment, and provide your account and support.
- For our legitimate interests: to keep the service secure, prevent fraud and misuse, keep evidential records of what was sent, and improve the service.
- To meet legal obligations: for example, keeping records for tax and accounting.
- With your consent where required, for example any optional marketing, which you can withdraw at any time.
4. Who we share it with
We share only what is necessary, and with:
- The recipient of your notice. To cancel on your behalf we send your notice, and the details it contains, to the company you have chosen to cancel. This is the core purpose of the service.
- Stripe, our payment processor, to take and manage payments.
- Resend, our email provider, to send your notice and your proof.
- Vercel and Neon, who host our website and database.
- A timestamping authority, to certify the send time. We send it only a one-way fingerprint of your notice, never the notice itself or your personal data.
We do not sell your personal data.
5. International transfers
Some of our providers process data outside the UK. Where they do, we rely on an appropriate safeguard, such as UK adequacy regulations or the International Data Transfer Agreement, so your data receives an equivalent level of protection.
6. How long we keep it
We keep your cancellation records and proof of sending for as long as needed to provide the service and to give you an evidential record you can rely on, and thereafter for as long as we reasonably need them for legal, accounting, or dispute purposes. We will delete or anonymise data when it is no longer needed, subject to any legal retention we must observe.
7. Your rights
Under UK data protection law you have the right to:
- access a copy of your personal data;
- have inaccurate data corrected;
- have your data erased, where the law allows;
- restrict or object to certain processing;
- data portability; and
- withdraw consent at any time, where we rely on it.
To exercise any of these, email help@subscriptioncancellation.com. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk, though we would appreciate the chance to help first.
8. Cookies
We use only the cookies necessary to make the site work and keep it secure. If we ever add non-essential cookies, we will ask for your consent first.
9. Security
We use appropriate technical and organisational measures to protect your data, including encryption in transit and restricted access. No system is perfectly secure, but we take reasonable steps to keep your information safe.
10. Children
Our service is for adults. We do not knowingly collect data from anyone under 18.
